The privacy and security of your information is important to us. This notice explains who we are, the types of information we hold, how we use it, who we share it with and how long we keep it. It also informs you of certain rights you have regarding your personal information under current data protection law. 1. Who we are:

Be Wiser Insurance Services is a trading name of Atlanta 1 Insurance Services Ltd, an insurance broker based at Nile Street, Burslem, Stoke-On-Trent, ST6 2BA. Please read this notice carefully as it explains how we as your broker and our panel of insurers collect and use your personal information.

2. The information we collect and where we get it from

In order for us to provide our services to you it is necessary that we collect certain information from you to provide a quote for a new policy or to renew your cover, or to administer your insurance policy. Usually this will be provided to us from you or someone connected to you and we will make checks with credit reference agencies to verify your identity, and also run your information against the Claims and Underwriting Exchange to ensure we have the full details of your  or someone else named on your policy’s claims history. If you have obtained a quote with us via a price comparison site this information is shared with us to provide our service to you.

Generally the information will include:

  • General information about you such as your name, address, occupation, contact details and date of birth
  • Information about what and/or who you want to insure, such as vehicle or property details
  • Your claims and credit history
  • Financial details such as bank accounts and card details
  • Sensitive personal information such as your health and criminal convictions, we will only use this information to help provide you with an insurance policy

Where we ask you for information about other people, such as additional riders or drivers, you must ensure that you have their consent to give us their details.

Where you have taken out a telematics insurance policy, it is a condition of the policy that a telematics device is fitted to your vehicle or you download a telematics app. This information will allow us to build up a profile of how, where and when your vehicle is driven and allows us to measure your driving to check that the premium charged for your insurance is reflective of the way that the vehicle is being driven. Further information about how the data collected by the device or app may be used by us, our suppliers or the insurer will be provided when you apply for a telematics quote.

3. Why we collect this information and how we will use it

We collect the information above in order to provide you with an insurance quote and/or an insurance policy. It is necessary in order to assess your application, verify your identity and arrange your insurance policy. The information may be used for the prevention and detection of financial crime. We will also use the information you provide to analyse your shopping habits and, if you buy a policy, how you use the benefits. This will help us to continue to design and offer products & services that meet our customers’ needs.

We will use call recording and the details you have given to facilitate compliance and quality monitoring.

In order that we can provide you with a quotation at new business and renewal stage we may use the information you have provided to us for analysis and profiling and to support our pricing strategy, which may involve an automated decision. If you object to an automated decision being made please contact us and we will review your details.

We and the insurers on our panel may collect data about you from credit reference agencies to confirm your identity, assess your risk profile and offer you appropriate products. The search conducted will not impact your credit score and can only be seen by you, us and the credit reference agency.

4. Communicating with you about similar products

We would like to inform you of our future offers and similar products that may be of interest to you. Where you have said it’s ok, we will share your information with other members of the Ardonagh Group (http://www.ardonagh.com/about-us/business-portfolio) who also offer insurance products and services.  You can unsubscribe at any time via phone, in writing (see the address at the bottom of this notice) or by email.

5. Sharing your information

We and your insurer may share your personal information with:

Business partners who help us to provide a service to you on our behalf;

Other companies within the Ardonagh Group and their respective sub-contractors with whom we may share data for the administration of your policy and to process discounts on quotes where we are able to identify positive risk profiles;

Other insurance companies, reinsurers, legal advisors, loss adjusters, claims handlers and/or other organisations In order to administer any claim you may make;

Organisations where we have a duty to or are permitted to disclose your personal information by law (for example if we receive a valid request from the Police in the interest of preventing and detecting crime);

The Motor Insurance Bureau, that records information of all motor insurance policies for law enforcement purposes Fraud prevention Agencies available to the insurance industry to check information and prevent financial crime;

Credit reference agencies to check your credit history. This check will be recorded on your credit reference file;

Third parties involved in financial management regarding payment:

  • Our premium finance provider. If you have chosen to pay by instalments your details will be passed to the lender who will arrange the credit agreement.

6. How long we keep your information

We will keep your information only for as long as is reasonably necessary for the purposes set out in the privacy notice and to fulfil our legal obligations:

  • If you have obtained a quote from us, but not purchased the policy, we will retain your records for 4 years.
  • If you have contacted our call centre, call recordings will be held for 3 years.
  • If you are a Be Wiser customer we will retain your records for a total of 6 years.

7. Securing your personal information

We follow strict security procedures in the storage and disclosure of your personal information in line with industry practices, including storage in electronic and paper formats.

We store all the information that you provide to us, including information provided via forms you may complete on our websites, and information which we may collect from your browsing (such as clicks and page views on our websites).

Any new information you provide us may be used to update an existing record we hold for you.

8. Use and storage of your information overseas

Where we pass information to service providers such as your insurers, some may process this information overseas in countries such as the United States. Where this happens appropriate measures will be in place to ensure that it is only used to administer your insurance policy and is kept secure at all times.

9. What are your rights

Under data protection law you have the right to change or withdraw your consent and to request details of any personal data that we hold about you. Where we have no legitimate reason to continue to hold your information, you have the right to be forgotten.

We may use automated decision making in processing your personal information for some services and products. You can request a manual review of the accuracy of an automated decision if you are unhappy with it.

10. Use of cookies

When you visit one of our websites we may collect information from you, such as your email address, IP address and other online identifiers.  This helps us to track unique visits and monitor patterns of customer website traffic, such as who visits and why they visit.  We use third parties to collate IP addresses to help us understand our Internet traffic data and data regarding your browser type and customer.  We may also use web usage information to create statistical deata regarding the use of our website.  We may then use or disclose that statistical data to others for marketing and strategic development purposes, but no individuals will be identified in such statistical data.

We may us cookies and/or pixel tags on some pages of our website.  A cookie is a small text file sent to your computer.  A pixel tag is an invisible tag placed on certain pages of our website, but not on your computer.  Pixel tags usually work together with cookies to help us to give you a more tailored service.  We also use cookies and pixel tags in our email communication to personalise the email and track whether the email has been opened and whether the recipient has used any website links contained in the email communication.  This allows us to monitor and improve our email communications and website.

The open nature of the internet is such that data may flow over networks without security measures, and my be accessed and used by people other than those for whom the data is intended.  Whilst this is outside of our control, we do take the protection of your information very seriously and aim to apply appropriate levels of security at all times.
 
Data from Google’s systems is used for online advertising purposes.  This is anonymised data on user location, search history, YouTube history and data from Google Partner sites provided by Google.  Ads Personalisation is enabled by default in Google accounts, and you can opt-out at any time.  You can also access and/or delete your data by visiting your Google account at My Activity.

Data provided to Facebook is used for online advertising purposes.  This data includes email address and phone number provided to Facebook in encrypted form. Facebook will determine whether you are a registered account holder, which then allows us to display personalised advertisements to those on our email lists when they visit Facebook. You can access and amend your settings and advertisement preferences by visiting your Facebook account under Settings and Privacy. 

Data provided to Bing is used for online advertising purposes.  You can switch off personalised ad tracking on Bing by selecting ‘settings’ and ‘personalisation’ from the Bing Homepage.
